Prepare your shipment with clarity.

What to have ready, what we confirm, and what happens at the destination. Use this guide before requesting a quote; the actual route and requirements are agreed for your shipment.

Before the quote

Tell us where in Canada your cargo is located

Share the province or territory, city, pickup address or setting, and whether you need us to collect it. We can arrange collection from across Canada; the departure port is agreed with you for the route.

Describe the cargo accurately

For a vehicle, include make, model, year, VIN if available, running condition, and size. For parts or equipment, include quantity, dimensions, weight, and handling needs when known.

Choose the destination, then verify its requirements

Name the destination country and preferred port or city. Import eligibility, local duties, taxes, clearance, and registration rules vary by destination and cargo; check them with a local broker before you commit to a purchase or shipment.

Quotation and approval

Review your itemized service quotation

Before collection, we quote the requested services: inland transport, international freight, loading and securing, preparation and documentation, plus any requested additional inspection or optional marine insurance. The quotation states what is included, excluded and subject to confirmation, together with validity and payment terms.

Approve the quotation before collection

Approve the itemized quotation and service scope, then complete the agreed payment and release requirements. We confirm the shipping method, coordinate booking with the carrier and arrange pickup according to readiness. Carrier acceptance, space and dates are confirmed before the relevant work proceeds.

Confirm the paperwork and payment details

Review the shipment documents and invoice with our team. Payments are made through verified bank transfer details; confirm the recipient and invoice before sending funds. Schedules and carrier acceptance are confirmed, not assumed.

Before collection

Prepare ownership and purchase records

Have available title or ownership documents, purchase invoice or bill of sale, and VIN or serial number ready. Our team confirms the export document checklist for your specific shipment; incomplete records can delay preparation.

Confirm access and readiness for pickup

Share the contact at the pickup site, access hours, keys, and whether the vehicle starts, rolls, steers, or needs special equipment. Agree on the collection plan before the carrier is dispatched.

Flag anything that changes handling

Tell us about damage, loose parts, personal belongings, batteries, fluids, or oversized dimensions. Acceptance and preparation are reviewed with the carrier; do not leave items inside without prior agreement.

At our facility

Receiving at our facility & condition record

At our facility or the agreed loading location, we match the vehicle and VIN to the shipment file, record keys and received items and photograph the visible condition. This arrival record is separate from a mechanical inspection. Any additional inspection follows its approved scope; discrepancies or extra work are reported for your approval before preparation.

Vehicle Loading & Securing

We prepare the cargo for the agreed shipping method, check the actual fit and secure the load. For a container shipment, vehicles are positioned and restrained for transport; RoRo and equipment loads use their approved handling arrangements. A loading record and any agreed photos document this step.

Export Documentation & Customs Coordination

We assemble and verify the cargo, ownership or invoice and consignee records, and coordinate the applicable Canadian export requirements with the responsible parties. This work can run alongside receiving and loading; the required file must be ready for the carrier’s deadlines. Shipping and release documents are shared as they become available.

Shipping and shipment updates

Port Transfer & Terminal Handover

After preparation and the required export checks, we move the container or cargo to the agreed Canadian departure terminal under the carrier booking. We coordinate transport and terminal handover against cut-off times. Terminal acceptance is not confirmation of sailing; we share departure details once confirmed by the carrier.

Ocean Transit & Shipment Updates

After the carrier confirms departure, we share available shipment documents, container or shipment references and tracking information. We follow the route, including any transshipment, and communicate available updates and the estimated arrival. Sailing schedules and arrival estimates can change.

At the destination

Destination Arrival & Buyer Clearance

Before arrival, we share the available shipping documents and arrival updates so your consignee or local agent can prepare. At the destination, the buyer or their agent handles import customs clearance, taxes, local charges and port release. Arrival at port does not yet mean collection or delivery to your address.

Collect your shipment at the destination

Once destination clearance and port release are complete, the buyer or their agent arranges collection and any onward local transport. Check the shipment and received items against the documents, record any visible discrepancy and keep the receiving records. Let us know when collection is complete.

Delivery Follow-up & Customer Care

After you collect the shipment, we contact you to confirm its condition and your satisfaction, and review any outstanding question or discrepancy with you. We close the file after the agreed follow-up, then help you plan another shipment whenever you are ready.
